The main objectives of the project admin support role is to manage the administrative activities for the PMT in order to comply with the administrative requirements as set forth in contracts and Borealis procedures, and unload the technical team members of administrative burden.
The project admin support is the focal point of the team and helps with all practicalities such as hotel reservations, register and receive visitors, organizing meeting, lunches and organizing events for the team.
Furthermore, the project admin support is managing the agenda of the Project Director, and members of the Management Team.
Support the organization & administration for Steering Committee meetings and PMT meetings (MOM, task lists, scheduling, organizing, preparing, Sharepoint).
Support the administration linked to contract management, procurement and project controls.
Take incoming external calls. Supporting the communication efforts with third parties.
Document control: On the project PIL site on SharePoint as well as hardcopy. Control the inflow and outflow of documents, ensure proper tagging, distribution and filing of the documents in the proper locations, and the numbering of correspondence.
Creating purchase requisitions and do goods receipts in SAP.
Control of actions/actions lists/ task lists and report status + expedite overdue actions
Assists in planning and booking of travel arrangements such as flight and hotel bookings, visa application, etc for the entire team.
Translate (technical) Dutch documents to English.

Fluent in Dutch and English
Excellent administrative skills, solid experienced user of Word, Excel and Powerpoint, OneNote
Flexible, stress resistant, “self-starter” (sees the work)
Proactive, and accurate.
Good in organizing own work and supporting admin organization of work of others
Professional representation of the project team to visitors.
Discrete, proper handling of confidential information.
Previous experience of working in projects or construction sites is a “+”
Knowledge of SharePoint and Borealis systems and procedures
SAP knowledge (MM & PM module, especially requisitions, goods receipt)
