      Job purpose & objectivesEnsure secretarial and administrative support to the Div./Dept. staff- Organize external meetings in respect of applicable internal and external requirements-Prepare sales meetings of concerned Business Unit-Organize, prepare materials and documents for congresses/events -Manage contacts with marketing agencies and outside printing companies; handle vendors and supplier database-Master financial & purchasing process: purchasing offer process and related documents for material, projects or services delivered-Prepare and follow-up of professional services agreements, sponsorings, contracts or equivalent, including Mdeon when required and payments-Centralize administrative documents, and follow-up internal approval flows-Prepare visits of professional relationships when required-Draft, translate where required, and distribute correspondence when needed-Manage and distribute stationary for dept, office equipment, manage promotional material-Make travel arrangements for Managers (and staff when required), depending of events size-Keep agenda of Manager(s), filter telephone calls, communicate incoming messages
