Calendar and Meeting Management:

• Proactively manage the complex calendars of two senior directors, including scheduling meetings, appointments, and keeping track of important deadlines.

• Coordinate team meetings and assist with all necessary planning.

• Prepare and distribute meeting notes for team meetings.

• Manage and follow up on the department's budget and the directors' expenses.

Communication and Point of Contact:

• Act as the primary point of contact for internal and external parties, including partners, stakeholders, our Diegem office, and various suppliers.

• Maintain and manage the GA&P Brussels distribution list.

Travel Arrangements:

• Manage travel logistics for the senior directors, including booking flights, accommodations, and transportation.

• Prepare detailed itineraries for all business trips.

Previous experience in a similar administrative or clerical role is preferred.

An entrepreneurial spirit with a proactive and assertive approach to problem-solving.

Excellent organizational and project prioritization skills.

A flexible mindset and the ability to thrive in an environment where processes may be less well-defined.

Strong communication skills, with the ability to act as a primary point of contact for a variety of stakeholders.

Fluent in written and spoken English. French and Dutch is a strong plus

This is a hybrid role. After a successful onboarding period, you will have the flexibility to work from home, with a minimum of three days per week required onsite at our Brussels office (Square de Meeus, Brussels).
