  • belangrijkste verantwoordelijkheden

    • Executive Calendar Management: Proactively manage complex, highly dynamic calendars for senior leaders, resolving conflicts and coordinating across multiple global time zones. Prepare agendas and logistics for leadership meetings and governance forums.
    • Travel & Expense Coordination: Arrange detailed domestic and international travel itineraries—including transport, accommodations, and visa documentation—while ensuring strict compliance with budget policies and processing expenses accurately.
    • Event & Visit Management: Lead the end-to-end planning and execution of offsite meetings, scientific workshops, and leadership gatherings. Serve as the primary operational point of contact for visiting US-based and international senior executives, ensuring seamless logistics, campus access, and hospitality.
    • Digital Excellence & Office Support: Act as a champion for Microsoft 365 tools, maintaining Teams and SharePoint sites while leveraging Microsoft Copilot to drive administrative automation. Oversee local office/IT procurement and facilitate onboarding/offboarding workflows.
    • Campus & Stakeholder Relations: Apply a deep understanding of local Beerse campus systems to partner effectively with Facilities, IT, Security, and Procurement, while maintaining absolute confidentiality.


  • kwalificatie

    • Experience: Proven experience in an administrative, executive assistant, or business support role, specifically supporting senior leaders within a multinational organization. Experience within a scientific, pharmaceutical, or research environment is highly preferred.
    • Technical Skills: Strong proficiency across Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint, SharePoint). Familiarity with Microsoft Copilot, Power Automate, or other productivity-boosting digital tools is a strong plus.
    • Core Competencies: Exceptional organizational, prioritization, and multitasking skills with sharp attention to detail. Demonstrated success in managing complex calendar logistics and large-scale event planning.
    • Soft Skills: A solution-focused, proactive, and flexible attitude comfortable with navigating change. High discretion, strong professionalism, excellent communication skills, and an international mindset.
